SITETRACE PRIVACY POLICY

Declan Wade (Sole Trader), trading as Codex Group WA ("Codex Group", "we", "us", "our"), provides the SITETRACE web platform ("SITETRACE", "the Service"). We are committed to protecting your privacy and handling your personal and business information responsibly, in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth) (see https://www.oaic.gov.au).

This policy explains what information we collect, how we use it, where it is stored, and your rights in relation to it.

Information We Collect

Account and billing information

To provide SITETRACE, we require certain details from you, including name, business address, contact phone number, email address, number of staff, and payment details (such as credit card or bank account information) where applicable.

Information you store in SITETRACE

While using SITETRACE, you may enter and store business and personal information relating to your customers, projects, staff, managers, charge and cost rates, electronic signatures, cost codes, time records, and expense details. This information is treated as confidential and will not be used or disclosed by Codex Group except as described in this policy or as required by law.

Non-identifying and usage information

We may collect aggregated, non-identifying information about visits to the SITETRACE web site and service, such as the date, time, and duration of visits, and which pages or features are used. This helps us administer and improve the Service.

How Your Information Is Hosted and Protected

SITETRACE is hosted on Cloudflare's infrastructure, with its database hosted by Neon (connected via Cloudflare Hyperdrive). Your data is stored and processed on these platforms, each of which applies its own security and confidentiality safeguards:

In addition, SITETRACE uses the following service providers to deliver specific features:

• Resend (transactional email delivery): where SITETRACE sends email on your behalf or to you, message content and recipient details may be processed by Resend. See https://resend.com/legal/privacy-policy.
• Anthropic (AI features): certain features of SITETRACE use the Anthropic API to process content you submit to those features. Data sent to the Anthropic API is not used by Anthropic to train its models. See https://www.anthropic.com/legal/privacy.

These providers may store or process data outside Australia. We take reasonable steps to ensure they handle your information consistently with the Australian Privacy Principles.

Access to your information is restricted to Codex Group personnel who require it to operate, maintain, and support the Service. Codex Group staff may access your account or data from time to time to perform maintenance, troubleshooting, or support tasks, and this access is limited to what is necessary for those purposes.

If you request support that requires us to access your account directly, we will only do so with your permission. We recommend changing your password after any such support session for added security.

Information is stored using industry-standard security measures appropriate to its sensitivity, and access is limited to authorised personnel.

Disclosure of Information

We will not disclose information that identifies you or your business to any third party without your express permission, except to the service providers listed above (solely for the purpose of operating the Service) or where we are required to do so by law.

You may request details of the information we hold about you, or request corrections, by contacting us using the details below. Requests to change account information will only be actioned once we can verify you are the account owner.

Cookies

Cookies are small text files stored on your device while using our web site or Service. SITETRACE uses cookies where necessary for the Service to function correctly (for example, to keep you logged in). If you disable cookies in your browser, you will not be able to log in to or use SITETRACE.

We do not use cookies to track your browsing habits or for marketing purposes.
